AI for nonprofits: a $50-a-month stack that covers the real work

The short answer: A small nonprofit or church can cover writing, design, social scheduling, shared documents and meeting notes for about $45 a month at list price, for one main user: ChatGPT Go ($8), Canva Pro ($15), Notion Plus ($10), Buffer Essentials for two channels ($12), and Fireflies Free ($0). Many vendors run nonprofit programmes that cut this further, so check before you pay list price.

The jobs a small nonprofit actually has

Before tools, the work. For most small charities, community groups and churches, the recurring writing and admin looks like this:

• Grant applications and reports
• Donor thank-you emails and appeals
• Newsletters and event announcements
• Social posts and simple graphics
• Board and volunteer meeting notes
• Volunteer handbooks, policies and sign-up info

AI helps most with the first draft of each of these. A person still checks facts, tone, and anything that goes to a funder.

The stack

Writing: ChatGPT Go, $8 a month

ChatGPT Go gives you more messages than the free tier, longer memory, and Projects, so you can keep your mission statement, programme details and past grant language in one place and reuse it. Design: Canva Pro, $15 a month

Canva Pro handles event flyers, social graphics, and annual report layouts, with brand kits so volunteers stay on-brand. The free plan also includes AI features, with lower limits.

Shared documents: Notion Plus, $10 a month

Notion Plus is $10 per member per month ($8 billed annually). Keep the volunteer handbook, event checklists and board papers in one searchable place. Start on the free plan if only one or two people edit.

Social scheduling: Buffer Essentials, $12 a month

Buffer Essentials is $6 per channel per month ($5 annually). Two channels, for example Facebook and Instagram, is $12. The free plan covers up to 3 channels if you can live with its limits.

Meeting notes: Fireflies Free, $0

Fireflies Free includes unlimited transcription and summaries, with limited storage. Enough for monthly board meetings and volunteer calls.

Total at list price: $45 a month. Moving Notion and Buffer to annual billing brings it lower.

Where to spend less

• Start free. ChatGPT, Canva, Notion, Buffer and Fireflies all have free plans. Pay only when you hit a limit that costs you time.
• Ask about nonprofit programmes. Several of these vendors offer discounts or free plans for registered charities. Terms vary by country and change, so confirm on the vendor's site.
• One writer, one seat. Do not buy seats for every volunteer. Share outputs, not logins.

Where to spend more

If your team grows past a few regular staff, a shared workspace plan like ChatGPT Business or Claude Team at $25 per user per month ($20 annually) keeps data out of personal accounts. That matters once you handle donor records.

What to be careful about

• Donor and beneficiary data. Do not paste personal details into a free consumer AI account. Use a business plan with a clear data policy, or strip names first.
• Grant accuracy. AI will write confident numbers you never gave it. Every figure in a grant must come from your records.
• Your voice. Funders and congregations can tell generic copy. Feed the tool your past writing and edit the draft.
