Should AI do it? Sort your jobs.

60 everyday jobs, each with a plain answer. Some jobs are better by hand. Some are good for an AI draft that you check. Some are done best by a plain tool with no AI in it.

Our judgement, checked October 21, 2026. It is an opinion with reasons, not a test result.

  • You17 jobs

Keep it human. The job needs your judgement, your voice or your accountability.

  • You + AI27 jobs

AI drafts it. You read it, fix it and approve it before it goes anywhere.

  • Plain tool16 jobs

A plain tool does it better. No AI needed, and it is cheaper to get right.

Money

  • Bookkeeping

    Plain tool

Books have to add up exactly, and an accounting app already does that the same way every time. AI can explain a report. It should not keep the ledger.

    Your call: the other side

If you already pay a bookkeeper, ask what they use before you change anything. Some owners like an AI chat to explain their numbers, and that is a fine use.

  • Invoicing

    Plain tool

An invoice is a record with legal weight. A payments tool sends it, tracks it and shows who has paid. AI adds nothing but risk of a wrong figure.

    Your call: the other side

AI can help you write the polite reminder that goes with an overdue invoice. That is a separate job on this page.

  • Taking payments

    Plain tool

Money should move through a payment provider built for it. It handles cards, receipts and disputes. Keep AI out of the checkout.

    Your call: the other side

AI can help you write the product page or the receipt email. Anything that touches the money itself stays with the provider.

  • Payroll

    Plain tool

Pay, tax withholding and filing dates are set by rules that differ by place. A payroll service tracks those rules and keeps records. Do not guess them with a chatbot.

    Your call: the other side

Small teams sometimes run payroll in a spreadsheet. If you do, an AI helper can check your formulas, but a payroll service is safer once you have staff.

  • Tax filing

    You

You or your accountant sign the return, so you answer for every line. AI can explain a term you do not know. It should not decide what you owe.

    Your call: the other side

AI is useful for making a checklist of documents to gather before you meet your accountant. The advice and the filing stay with a qualified person.

  • Setting your prices

    You

Price tells customers what you are worth, and it sets your margin. It depends on things only you know. AI can list what competitors charge. You decide.

    Your call: the other side

An AI chat is a fine sparring partner. Ask it to argue against your price, then make the call yourself.

  • Tracking expenses

    Plain tool

Receipts and bank feeds go into an accounting app that sorts them and keeps the record. It is quicker and easier to audit than asking AI each month.

    Your call: the other side

If you only have a handful of receipts, a spreadsheet is enough. Use AI to tidy the columns if you like.

  • Cash-flow forecast

    You + AI

A forecast is only as good as your assumptions. AI can build the sheet and ask the right questions. You supply the real numbers and judge the result.

    Your call: the other side

Some owners prefer to keep a simple list of money in and money out, with no forecast. That is also a valid way to run a small shop.

  • Chasing late payments

    You + AI

AI can draft a firm, polite reminder in your voice. You decide who gets a nudge and who gets a phone call, then you send it.

    Your call: the other side

For a long-standing customer, a call from you usually works better than any message. The relationship is yours to judge.

Customers

  • Customer email replies

    You + AI

AI can write a first draft of a reply in your tone. You read it, fix any wrong fact and send it. Never let a draft go out unread.

    Your call: the other side

If your emails are short and personal, writing them yourself may be quicker. A template of your own favourite replies can do the same job.

  • Angry customers

    You

An upset customer wants to hear from a person who is listening. A generic reply makes it worse. Use AI to calm your own draft at most.

    Your call: the other side

If you are too upset to reply well, let AI suggest a calmer first line. Then rewrite it so it sounds like you.

  • Refund decisions

    You

A refund is a decision about money and goodwill. It belongs to you, or to someone you have given clear rules.

    Your call: the other side

You can write a plain refund policy once, with AI helping with the wording. After that, each case is still your call.

  • Answering common questions

    You + AI

AI can turn your own notes into clear answers for a help page. You check each one for facts, and you update it when things change.

    Your call: the other side

A short page of questions you write yourself will always be accurate. Use AI only to tidy it.

  • Booking appointments

    Plain tool

A booking tool shows free times, stops double bookings and sends reminders the same way every time. A back-and-forth with AI does none of that.

    Your call: the other side

If you take only a few bookings a month, a phone call is fine. AI can help you word the confirmation message.

  • Appointment reminders

    Plain tool

Reminders come from your booking tool, on the schedule you set. It is simple, steady and cheap. There is nothing for AI to add.

    Your call: the other side

AI can help you write a friendlier reminder message once. The tool then sends it.

  • Feedback forms

    Plain tool

A form tool collects answers in one tidy place. It is free for most small uses. Ask AI to suggest questions, then build the form in the tool.

    Your call: the other side

A quick call or text can get more honest feedback from your best customers than any form.

  • Replying to reviews

    You + AI

AI can draft a warm reply in your voice. You read it, add the personal detail, and post it. A reply is public and has your name on it.

    Your call: the other side

A short thank-you you write yourself can feel more real. For a harsh review, take your time and write it yourself.

  • Asking for reviews

    You + AI

AI can draft the message. You choose who to ask and when, so you only ask happy customers at the right moment.

    Your call: the other side

Asking in person, right after a good visit, beats any message.

  • Welcome emails

    You + AI

AI can draft a friendly welcome in your tone. You read it, set it up once in your email tool, and review it now and then.

    Your call: the other side

A short note from you with a real name on it can do more than a polished one. Try both.

  • Receipts and password emails

    Plain tool

Emails triggered by your app or shop, like receipts and password resets, need to arrive every time. A sending service built for that does it. AI cannot promise delivery.

    Your call: the other side

If your shop platform already sends these, you may not need anything extra. Check before you add a tool.

  • Calls with customers

    You

A voice builds trust fast, and customers can tell when it is not you. Make the important calls yourself.

    Your call: the other side

AI can write you a short call outline or summarise your notes afterwards. The call is yours.

  • Sorting support messages

    You + AI

AI can read incoming messages and suggest which are urgent. You check the sorting and answer the ones that matter.

    Your call: the other side

If you get only a few messages a week, sorting them yourself takes minutes.

Marketing

  • Cold outreach

    You

Unasked messages put your name and your sender reputation at risk. AI can help you research and draft. You choose the people and send each message yourself.

    Your call: the other side

Some owners do use AI to write a first draft for each person, then edit it. The rule stays: a human reads every message before it goes.

  • Social media posts

    You + AI

AI is good at first drafts and ideas. You add the real photo, the real story and the final check before you post.

    Your call: the other side

A post that is honest and a little rough often beats a polished one. Use AI to beat a blank page, not to replace your voice.

  • Blog posts for search

    You + AI

AI can outline and draft. You add what only you know, check every fact and publish. Thin posts that nobody checked do not help you.

    Your call: the other side

One post a month that you wrote yourself may do more for your business than many drafts. It depends on your goals and your time.

  • Product descriptions

    You + AI

AI turns your product notes into clear text fast. You check sizes, materials and claims against the real product, then publish.

    Your call: the other side

For a handful of products, writing them yourself keeps the voice consistent. For a long catalogue, AI drafts save real time.

  • Ad copy drafts

    You + AI

AI can offer many versions of a line quickly. You pick one, check it is true, and approve it before it runs.

    Your call: the other side

Your own words about why customers pick you are often the best ad. Read what customers say, and borrow their phrases.

  • Ad budget decisions

    You

Spending on ads is spending your money. You set the limit and you stop it. Do not let any tool raise it for you.

    Your call: the other side

AI can explain a report and point out odd numbers. The decision to spend more or less is yours.

  • Website visitor stats

    Plain tool

An analytics tool counts visits the same way every day. It is steadier than asking AI to estimate them.

    Your call: the other side

Once you have the numbers, an AI chat can help you read them in plain words.

  • Brand name and voice

    You

Your name and the way you speak are what customers remember. AI can offer ideas. You choose what feels like you.

    Your call: the other side

Brainstorming a long list of names with AI is a good way to start. Pick one with real people you trust.

  • Logos and images

    You + AI

AI can sketch ideas and make simple pictures. You check the result looks right, is allowed for your use and does not copy someone else.

    Your call: the other side

If the logo is the face of the business, a designer who talks with you may be worth paying.

  • Customer testimonials

    You

A testimonial has to come from a real customer who said it. Never ask AI to write one. Ask your happy customers, and quote them with permission.

    Your call: the other side

AI can help you tidy spelling in a quote only if the customer agrees to the edit.

  • Sign-up forms

    Plain tool

A form tool collects names and emails safely in one place. It is plain, quick to set up and often free. AI can suggest the wording.

    Your call: the other side

If your email service has its own sign-up form, use that and skip a second tool.

  • Newsletter drafts

    You + AI

AI can draft from your notes. You add what is new this month, check it and press send yourself.

    Your call: the other side

A short, plain note from you each month may be all your readers want.

People

  • Hiring decisions

    You

Choosing a person is a judgement about people, and you are accountable for it. AI can draft questions. It should not rank or reject candidates.

    Your call: the other side

AI can help you write fair, consistent interview questions. Deciding who to hire stays with you.

  • Job post drafts

    You + AI

AI can draft a clear job post from your notes. You check pay, duties and requirements, then publish.

    Your call: the other side

A job post in your own words can attract people who already like how you work.

  • Interview questions

    You + AI

AI can suggest a set of questions for the role. You pick the ones you want and ask each candidate the same ones.

    Your call: the other side

Conversations that follow what a person says often teach you more than a script.

  • Performance reviews

    You

Feedback about a person has to come from you, with real examples. AI can help you tidy your notes. It should not judge anyone.

    Your call: the other side

If writing is hard for you, AI can suggest a structure. The content has to be yours.

  • Difficult staff conversations

    You

These conversations are about trust and fairness, and they can have legal consequences. Speak in person and ask a qualified adviser when it is serious.

    Your call: the other side

AI can help you prepare what you want to say. Do not use it to write the words you say to the person.

  • Onboarding checklists

    You + AI

AI can build a first-week checklist from your notes. You adjust it for your team and run the week yourself.

    Your call: the other side

Ask your last new hire what they wished they had known. That is a better starting point than any template.

  • Meeting notes

    You + AI

A note-taking tool can write up a call. You read the summary, fix mistakes and share it. People should know the call is being recorded.

    Your call: the other side

For a short call, your own three bullet points may be enough.

Running the business

  • Quotes and proposals

    You + AI

AI can draft the wording and layout. You set the price and scope, and you read every line before a customer sees it.

    Your call: the other side

A quote that is short and specific wins trust. Do not let a draft pad it out.

  • How-we-do-it documents

    You + AI

AI can turn your rough notes into a clear checklist. You test it by following it once.

    Your call: the other side

A short video of you doing the job can beat a written page. Use AI to write the summary underneath.

  • Spreadsheet clean-up

    You + AI

AI can suggest formulas and tidy messy columns. You check a few rows by hand before you trust the result.

    Your call: the other side

On a small sheet, fixing it yourself is often quicker than explaining it.

  • Looking up competitors

    You + AI

AI search can gather what competitors offer, with links. You open the links and check them. Treat it as a starting point.

    Your call: the other side

Customers often tell you more about competitors than any search. Ask them.

  • Negotiating with suppliers

    You

Terms depend on trust and the history between you. Do it yourself. AI can help you prepare what to ask for.

    Your call: the other side

Ask AI to play the supplier and test your arguments first. Then go and talk.

  • Reordering stock

    Plain tool

Your stock or shop software already knows what you have sold. Set alerts there. A tool counting stock beats AI guessing it.

    Your call: the other side

If you sell very few items, a notebook is enough.

  • Moving data between apps

    Plain tool

A built-in integration or a connector tool moves data the same way each time. AI should not retype your data.

    Your call: the other side

For a one-off clean-up, an AI chat can reshape a file. Check the result before you import it.

  • Setting goals

    You

Goals say what you want from your business and your life. Only you can answer that. AI can ask good questions along the way.

    Your call: the other side

A chat with AI can help you put your goals into words. Keep the ones that still feel right a week later.

  • Choosing who to serve

    You

Deciding who you want as customers shapes everything. It is your call. AI can summarise what your best customers have in common.

    Your call: the other side

Use your own records as evidence. A list of your best jobs tells you more than a persona.

  • First website draft

    You + AI

AI can draft pages and wording quickly. You check every fact, price and photo, then publish. It is a draft until you say so.

    Your call: the other side

If you have a clear picture of your site, a template and your own words may be quicker.

  • Backups

    Plain tool

Backups must run on a schedule and be tested. Use your storage or hosting provider's backup feature. AI cannot back anything up.

    Your call: the other side

Do one test restore a year. A backup you have never restored is only a hope.

  • Choosing AI tools

    You + AI

AI search can help you shortlist tools. Check prices and terms on each vendor's own page before you pay, since they change often.

    Your call: the other side

Ask a business friend which tools they pay for and why. A real recommendation counts for a lot.

Questions people ask

How do I decide which jobs to give to AI?

Ask three things. Would a mistake cost money or trust? Does the job need your judgement or your voice? Is there a plain tool that already does it? If the answer to the first two is yes, keep the job yourself. If a plain tool exists, start there. Give AI the drafting.

Which jobs should I never give to AI?

Setting prices, hiring and firing decisions, angry customers, refunds, tax and legal advice, and anything that moves money. AI can help you prepare for these. The decision stays with you.

What is a plain tool?

A normal piece of software with no AI in the job it does, such as Stripe for payments, Cal.com for bookings or Resend for sending email. It does one thing the same way every time.

Is this page a test of what AI can do?

No. It is our judgement on who should do each job, with reasons. AI tools change often, so we date the page. If a verdict is wrong for your business, you can change it in your plan.

Does Dapols earn money from the tools you recommend?

Dapols takes no share of your sales or ad spend. Some tool links are affiliate links, and we mark them. A verdict is never changed for a link.
